On June 17, 2022, the Department of Education issued a new quarterly report form to be effective for the Q2 2022 report to be posted July 10, 2022. The new quarterly reporting form captures spending of both institutional funds and student funds, and all IHEs with remaining HEERF grants should use this single form going forward to report all quarterly spending regardless of the funding stream.

Deadline for performance: All institutions were given 1 calendar year (365 days) from the date of award in their HEERF Grant Award Notification (GAN) to complete the performance of their HEERF grant. after the end of the year-long period of performance, grantees have an additional 90 calendar days to liquidate their obligations made during their year-long period of performance as part of the grant closeout procedures.
On April 9th, 2020, the U.S. Department of Education announced that institutions of higher education would be allocated funds from the Coronavirus Aid, Relief, and Economic Security (CARES) Act to directly address student expenses “… related to the disruption of campus operations due to coronavirus (including eligible expenses under a student’s cost of attendance such as food, housing, course materials, technology, health care, and child care)”. Brazosport College (“BC” or “the College”) was included in the allocation. To access these funds, the College submitted a signed CARES ACT: Higher Education Emergency Relief Fund (HEERF) Certification and Agreement via Grants.gov. This Certification and Agreement, signed by Brazosport College on April 13, 2020, requires the College to provide fifty percent (50%) of its formula grant funds for the sole and exclusive purpose to provide emergency financial aid grants to students, for expenses such as:

The previous Student Aid Portion reports (a 30 day, 45 day, or quarterly report) should report expenditures from the date of the institution’s (a)(1) Student Portion award through September 30, 2020 To be eligible to apply for Emergency Financial Aid assistance, students must meet all federal guidelines, including being eligible for Title IV financial aid. The Financial Aid Office has analyzed all student accounts to determine which students are eligible to apply for emergency assistance. The application assesses student need related to the disruption of campus operations due to coronavirus. From March 2020 through August 2020, an eligible student could receive up to $1,000 in assistance. Starting in September 2020, an eligible student could receive up to $1,500 in assistance.

The Department of Education opened the Annual Report Data Collection System for annual report submission. The first annual report covering all grant expenditures and activities for the period March 13, 2020 to December 31, 2020 was submitted by Brazosport College by the designated Submitter on January 28, 2021. Brazosport College received confirmation of receipt on February 11, 2021.
On March 5, 2021, Brazosport College received notification that the Annual report was undergoing Data Quality review. On March 16, 2021, Brazosport College received final notification that the Annual report passed all data quality edits and no further action was required.
